Dashboard

Today, at a glance

The dashboard shows staff today at a glance: who is arriving, who is leaving, and which beds to change once they have gone. It shows which beds each group is allocated.

A booking that still owes money shows in amber. Staff can step to yesterday or tomorrow in one click, or open any other day from the grid.

Grid

Every bed, every night

The grid shows every bed on every night, thirteen weeks at a time. Each booked bed shows how many are in that party. A P marks a bed paid for but left empty in a private room, and amber marks money owed. When staff point at a booking, all of its beds light up.

Staff can block off beds, rooms or the whole bunkhouse if they are not available (e.g. for repairs).

Bookings

Every booking

The bookings list shows every booking, newest first or by arrival date. A circle at the start of each row shows where each booking stands: empty for a stay still to come, half full while the guests are staying, full once they have left, and crossed out if it was cancelled or they didn’t turn up. Any circle turns red when a payment is overdue.

Staff can search by name, phone number, email address or reference, or by plain words such as next June or unpaid. Admins can download the results as a spreadsheet.

One booking

A booking

A booking’s page shows the stay, the rooms and beds, the guest’s details, and what has been paid and what is owed. Staff can change the number of people, the nights or the room, and see the new figures before anything is charged or refunded. They can also add a charge for a breakage or a refund as an apology, cancel the booking, or mark the guests as a no-show.

Underneath is a history of everything that has happened to the booking, with a receipt for every payment and a copy of every email the guest was sent.

Reports

The figures

Reports show occupancy, bed-nights, bookings and people, the income earned from stays in each period, and the money received in it. Staff can view them by week, quarter or year.

New booking

When a guest phones or walks in, staff book them through the same six steps. Staff then record a cash or card-terminal payment, or email the guest a link to pay.

Settings

Admins set the rooms, prices, deposits and cancellation terms. They also add their own words to the emails guests are sent, choose the bunkhouse’s colour, decide who is on the staff, and set how long guests’ details are kept.
